REFEREEING SERVICES COORDINATOR

Position Title: Refereeing Services Coordinator
Department: Finance and Administration
Reports to: Team Services Manager
Position based in: Concacaf Headquarters, Miami

COMPANY INFORMATION:
We are The Confederation of North, Central America and Caribbean Association Football, one of six continental confederations of FIFA (Fédération Internationale de Football Association). Concacaf serves as the governing body of football in this part of the world. POSITION PURPOSE:
The Refereeing Services Coordinator is responsible for delivering high-quality operational support before, during, and after events, while ensuring compliance with organizational policies, budget guidelines, and service standards. This role also ensures the efficient planning and seamless execution of all travel and hospitality logistics for Refereeing Department events by coordinating with internal stakeholders and external vendors, maintaining accurate travel data, and supporting multiple events simultaneously.

ESSENTIAL FUNCTIONS:

  • Plan, coordinate, and execute all travel-related activities for Refereeing Department events, ensuring seamless delivery in collaboration with internal stakeholders and external service providers.

  • Maintain accurate and up-to-date databases related to refereeing travel, accommodation, and event logistics.

  • Support multiple events simultaneously, including on-site hospitality operations and post-event reporting and reconciliation.

  • Coordinate with hospitality and travel vendors for refereeing events, including vendor sourcing, service coordination, contract administration, and payment reconciliation under the supervision of the Team Services Manager.

  • Participate in operational and planning meetings, ensuring timely follow-up on action items, deliverables, and project timelines.

  • Collaborate cross-functionally with internal departments to support ETS and refereeing operational needs.

  • Ensure compliance with organizational policies, operational procedures, and approved budget guidelines.

  • Provide after-hours and event-time operational support as required.

  • Liaise with the Administration team to coordinate the management, processing, and delivery of referee-related benefits, allowances, and associated support programs.

  • Identify, coordinate, and support technology and innovation initiatives aimed at optimizing operational workflows, automation, reporting, travel coordination, and service delivery across refereeing operations.

  • Perform additional duties and responsibilities as assigned.

SPECIFIC JOB KNOWLEDGE, SKILL, AND ABILITY:
The individual must possess the following knowledge, skills, and abilities and be able to explain and demonstrate that s/he can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

  • Bachelor’s degree in Hospitality, Sports Management, or a related field.

    Minimum of 3 years of relevant experience in similar roles; experience working with sports teams and referees is preferred.

  • Proven experience negotiating with hotels, vendors, and service providers, as well as working with event management and registration systems.

  • Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); experience with Microsoft Project or event management platforms (e.g., Cvent) is a plus.

  • Familiarity with Microsoft Great Plains is an asset.

  • Ability to prepare reports and professional business correspondence.

  • Strong organizational, analytical, and problem-solving skills, with the ability to manage multiple priorities in a fast-paced environment.

  • Strong client-service orientation and stakeholder management skills.

  • Excellent written and verbal communication skills; bilingual proficiency (English/French or English/Spanish) is required. Knowledge of Dutch is a plus.

  • High level of flexibility and adaptability, with the ability to perform effectively under changing priorities.

  • Ability to work both independently and collaboratively across multiple teams.

  • Demonstrated integrity, discretion, and professionalism when handling confidential information.

  • Flexibility to travel domestically and internationally as required for the performance of duties (approximately 40% travel).

Due to the cyclical nature of the sports and entertainment industry, the employee may be required to work varying schedules, including game nights, to reflect the business needs of the company.
